Retainers, deposits, the wedding balance, changes, travel and what to expect on the day.

Demo notice: Frame & Fable Photography is a fictional business on a demonstration website. These terms show how a real studio's terms could read with this booking system; nothing booked here is a real session or payment.

These terms apply to sessions, weddings and bundles booked with Frame & Fable Photography, whether at the studio or on location. By booking, you agree to them.

1. Bookings, retainers and deposits

  • Your booking is confirmed once we receive the first payment, by e-Transfer or by card (through our payment provider). Weddings and events (wedding days and mehndi or sangeet evenings) take a 30% retainer. Engagement, family, maternity, headshot and newborn sessions take a 50% deposit. Free consultation calls need no payment.
  • Paying by e-Transfer takes 3% off the whole booking, and the retainer or deposit is worked out on the lower price. Card payments are at the full price.
  • The first payment is due within 24 hours of booking, or 2 hours before the session if that's sooner. For e-Transfers, please include your booking code (it looks like FF-7K3QX) in the message.
  • We hold your time until the deadline. If the payment hasn't arrived by then, the booking is released and the time offered to other clients.
  • You can choose to pay the whole amount at booking instead. For sessions, anything not paid at booking is paid on the day of the session.
  • The price you're shown before you confirm includes everything you chose: the session, add-ons, the travel fee and any sunrise fee.

2. Weddings and events

  • The 30% retainer is non-refundable. It secures your date, and we turn away other couples for it.
  • The balance is due 14 days before the wedding. We'll remind you by email and text 21 days and 16 days before, with a link to pay by card and the details for e-Transfer. If it's still unpaid after the due date, we'll contact you to sort it out.
  • Wedding and event bookings made less than 14 days before the date are paid in full when you book.
  • If you reschedule at least 48 hours ahead, your retainer (and any balance paid) moves to the new date.
  • Please send your timeline and your list of family photos about two weeks before the wedding. Coverage runs for the hours you booked, in one continuous block from the start time you chose.

3. Rescheduling

  • You can reschedule up to 48 hours before your session using the Manage my booking link in your booking email. Your retainer or deposit moves to the new date.
  • Changes with less than 48 hours' notice can't be made online. Please reply to your booking email; a change within 48 hours is treated as a late cancellation, except for weather (below).
  • Weather: if rain or a storm is forecast for an outdoor session, we'll agree a new date together at no charge, up to the morning of the session. Weddings go ahead in any weather.

4. Cancellations and missed sessions

  • Sessions: cancel at least 48 hours ahead (with Manage my booking, or by replying to your booking email) and we refund your deposit minus a $25 cancellation fee. Card payments are refunded to the same card; e-Transfer deposits are sent back by e-Transfer within 2 business days.
  • Weddings and events: the retainer, and any balance already paid, is not refunded when you cancel. Rescheduling at least 48 hours ahead instead moves everything you've paid to the new date.
  • If you cancel with less than 48 hours' notice, or don't come to your session (or aren't at the location at the start time), the deposit is kept.
  • If we ever need to cancel or move your session, we'll offer a new date with everything you've paid carried over, or refund it in full.

5. Location and travel

  • On-location bookings need the venue or meeting-point address when you book. The travel fee is one per booking: included in Brampton and Peel; $75 for the wider GTA; $250 beyond the GTA (for example Niagara or cottage country).
  • Parking and any fees a venue or park charges for photography are paid by the client. Please tell us about access rules, parking passes or buzzer codes when you book.
  • Newborn sessions and headshots take place at the studio.

6. Sunrise sessions

Sessions run Tuesday to Sunday. Start times before 7:00 AM can be booked online from 6:00 AM and add a $150 sunrise fee, shown before you confirm.

7. Your photographs

  • Sneak peeks are delivered within 48 hours, and the full hand-edited gallery within 3 weeks, in a private online gallery. With the Full gallery in 7 days add-on, the full gallery arrives within 7 days.
  • We choose and edit the photographs in our own style; unedited files aren't delivered.
  • You may download, print and share your photographs for personal use. We ask before using any of them to show our work.
  • Albums and print sets are designed from your gallery and sent to print once you approve them.

8. Bundles

  • A bundle is a set of sessions listed on the wedding collections & bundles page. It's paid in full, by e-Transfer (3% off) or by card. Unpaid orders are cancelled after 48 hours.
  • Bundles are valid for 12 months from the day we receive payment. Unused sessions expire at the end of the 12 months.
  • Book each session online with your bundle code; no retainer or deposit is needed. Add-ons, travel and sunrise fees aren't included and are paid at each session.
  • Family, baby and headshot sessions cancelled or rescheduled at least 48 hours ahead go back on your bundle; with less notice, or a missed session, the session is used.
  • Wedding collections are non-refundable, but their sessions can be rescheduled with at least 48 hours' notice.
  • Anyone with the code can book a session, so keep it private if you don't want to share it. Bundles can't be refunded.

9. Loyalty points

You earn 1 point for every dollar spent at completed sessions (not missed ones) and on bundles when they're paid. Points are added the day after your session. Every 100 points is $5 off, taken at the studio. Points have no cash value. You can see yours in My account.

10. Arriving late

Please let us know if you're running late. Sessions end at the booked time so the next family isn't kept waiting, and wedding coverage runs for the hours booked from the start time you chose, so time lost to a late start can't always be made up.

11. Prices

Prices are shown on our sessions & prices page and may change; the price at the time you book applies to that booking. Prices are before 13% HST.
